3rd party Microsoft Office 365 data backup and restore services are becoming more and more in demand. Microsoft operates Office 365 under a shared responsibility model; meaning that although they maintain platform availability, preventing actual data loss is the sole responsibility of the user.
Over 50% of organisations rely on Office 365; however, 92% of them don’t have a backup solution in place. Many businesses are unknowingly left overly exposed to data loss caused by human error (such as accidental deletion) or malicious attack that can damage or destroy data.
Does Microsoft Backup Office 365 Data?
With the Office 365 platform, Microsoft retains data for up to 90 days in the recycle bin. However, the recycle bin is not a sound backup strategy; it can be emptied at any time, making that data unrecoverable.
Also, should a file become corrupt, there is no way to restore that file without a 3rd party backup. Even if lost data is retrievable, there is no point-in-time recovery option, so rolling back to a known ‘good’ version of a file is not possible.
Clearly, using a 3rd party Microsoft Office 365 data backup and restore service is worth serious consideration.
Are Exchange Online Emails Backed Up By Microsoft?
Microsoft states that Exchange Online does not provide a way to perform a traditional backup of mailboxes.
Exchange Online does move your deleted emails to the Deleted Items folder. Even when purged from there you can recover them for a further 14 days. This system is limited in its ability to restore mailboxes and using a 3rd party backup solution is strongly recommended.
A Complete Backup Solution
The Securus Office 365 Backup Suite is a complete Cloud-To-Cloud technology platform that ensures all of your Office 365 data, Exchange Online email, OneDrive and Sharepoint data are all securely backed-up.
Our solution also includes Sophos anti-ransomware and threat prevention technologies to safeguard your data from cyberattacks. We offer complete protection for Office 365 data, Exchange Online, SharePoint Online and OneDrive for Business, all in one easy to use solution.
1. Office 365 Data Backup

All of this is simple, automatic, and you can manage the entire process from a simple GUI. You can specify what precisely to backup, or choose to backup all of your Office 365 data. A complete backup of those vital documents is safe, secure, and ready to be restored at a moments notice.
We take security more seriously than most, so have integrated Sophos Intercept X advanced cybersecurity into this solution. Sophos Intercept protects against, intelligent ransomware and malware detection, along with a deep learning and signature-based protection from common threats.

2. Exchange Online Email Backup
By default, Exchange Online moves deleted emails to the Deleted Items folder. Once purged, they make their way to a Recoverable Items folder with a 14-day default retention period. This system provides only limited email restore abilities; thus, we strongly recommend using a 3rd party Microsoft Office 365 data backup and restore service.
Securus Office 365 Backup Suite also replicates your Exchange Online mailboxes directly to the Securus Cloud and is managed from the same simple GUI. You can select all mailboxes for backup or individual users with point-in-time granular recovery. Emails, calendars, tasks and contacts are all securely stored and quickly recovered if required.
- Simple GUI configuration
- Automatic backup of mailboxes, calendar, tasks and contacts
- Quickly recover mailboxes, folders and individual email
- Copy backups to on-premise devices or alternate cloud storage
- Quickly restore Exchange Online data to your Office 365 server
- Fully integrated Sophos Intercept X advanced endpoint protection
- Role-based access control
- Subscription-based licensing
3. Sharepoint Online Backup
So, that covers Office 365 data and Exchange Online, but what about collaboration services such as Sharepoint?
Out of the box, Microsoft Sharepoint offers robust disaster recovery of the platform itself. However, their backup and data restore capability is extremely limited. Most consultancies recommend using a dedicated 3rd party backup solution.
The Securus UDP Cloud is the answer. Our Unified Data Protection cloud works seamlessly with our Securus Office 365 Backup Suite solution to offer complete peace of mind for Sharepoint data protection and recovery. We deliver reliable SharePoint Online backup and point-in-time granular recovery, keeping your data safe and secure. Our solution can:
- Protect your on-premise SharePoint from one simple GUI
- Recover an entire site collection, or select lists, libraries or documents using point-in-time restore
- Reduce storage capacity with efficient, built-in de-duplication
- Copy backups to on-premise devices or alternate cloud storage
- Subscription-based licensing
4. OneDrive For Business Backup
Users tend to store critical files on OneDrive so they can access them remotely anytime and anywhere. Accidental deletion can be a headache if the wrong file is selected, or worse, a file becomes corrupt. Although Microsoft provides an excellent 30-day roll-back feature; a deleted file is non-recoverable
Our comprehensive OneDrive for Business backup uses UDP Cloud technology to safeguard all user files stored on their OneDrive. Our simple to use GUI enables you to back up just a singe OneDrive account or all of them. With this solution, you can:
- Simple GUI configuration
- Automatic backup of mailboxes, calendar, tasks and contacts
- Quickly recover mailboxes, folders and individual emails
- Recover deleted files, folders or even entire accounts
- Copy backups to tape devices and alternate cloud storage
- Export OneDrive data from Securus Cloud Backup for Office 365 to your Office 365 server
- Enhanced Security
- Role-based access control
- Subscription-based licensing
Security Is A Factor
As already explained, Office 365 data is your responsibility. This responsibility also includes protecting your Exchange Online email from malware, ransomware and other such undesirables. Without a sophisticated third-party solution in place for security, you are incredibly wide open to external data breaches and security attacks.
We strongly recommend you read the Securing Office 365 Business article belo which introduces you to the Securus Office 365 Security Suite designed to keep your data safe and secure.
Conclusion
As the saying goes, ‘you don’t know what you need until you need it’, thus a dedicated backup solution should not be seen as a nice-to-have. If some or all of your business data was lost tomorrow, do you truly want to rely solely on the restorative properties of the recycle bin?
The Securus Office 365 Backup Suite offers a complete backup and restore protection for Office 365 data, Exchange Online, OneDrive, Sharepoint, and much more.
